Using asana for our project
Asana is the project management tool we’ll be using to keep up with all the moving pieces during the design process to make sure everything stays on track.
We'll use Asana to:
View our whole project from start to finish, along with when you can expect to hear from me/see designs or when feedback/tasks are due from you
View all rounds of design work
Give feedback on design presentations
Upload important documents
Communicate about your project (such as questions related to the design process, feedback on designs, file uploads/downloads, etc)
Here’s what you need to know:
Your invite to Asana should be in your email. Please follow the instructions to create your account. Once you're in, I recommend bookmarking the page since we'll be using it almost daily once our project begins.
Look in the left column to find your project. If you click your project name you'll see your task list appear on the right side of the screen.
This initial view of your project is Board View (see image above). If you look directly underneath the search bar (top middle) you'll see that you can toggle between, "Board", "Conversations", "Calendar", "Progress" and "Files".
Board view + tasks: This shows all the tasks in our project divided into phases. Each task has a due date and assignee. All of your tasks say "CLICK ME!" for easy reference. When you click you'll be led to more instructions.
Once you finish a task you can mark it as "complete". After that, the task will either disappear completely or appear faded on the screen, depending on your settings.
TO REMOVE TASKS FROM VIEW AFTER THEY'RE MARKED COMPLETE: Look in the top right corner, click where it says "View: All Tasks" then hit "View: Incomplete Tasks".
TO SHOW COMPLETED TASKS BUT KEEP THEM FADED: Look in the top right corner, click where it says "View: Incomplete Tasks" then hit "All Tasks".
Conversations: This is where we'll talk about anything related to the project that isn't task specific (new ideas, business questions, questions about the process, etc).
Calendar: Pretty self-explanatory, but with this view you can see our project from a monthly stand point. Each day will have all the tasks that are due.
Progress: This is a broad overview of how many tasks we have vs how many have been completed.
Files: You can click this view to see all files that have been uploaded to your project.Files tab
Back in board view, if you click a task you'll have a box come onto the screen. This box will sometimes have instructions or things for you to download. There's also a comment box if you have questions or want to start a conversation about a specific task (see below).
When feedback or an action is needed from you, you’ll see an extra reminder that says “CLICK ME!” :)
After you create your account you'll automatically be added to your project. I'll go in and assign your tasks and due dates, then your avatar will appear next to your tasks.
You can customize your photo if you like (click the circle in the top right corner and hit "my profile settings".
